Refund Policy

1.Refund Policy

By using PBH Health LLC (“PBH Health,” “we,” “us”), you acknowledge and agree to all three policies collectively.

This policy is designed to comply with:

  • Telehealth and healthcare service regulations

  • Consumer protection laws in jurisdictions served

  • LegitScript Certification Standards (including transparency and patient protections)

 

2. Nature of Services

PBH Health provides:

  • Telehealth medical evaluations

  • Lifestyle and wellness programs

  • Prescription-related clinical services (where appropriate)

Due to the clinical, time-based, and regulatory nature of these services, refund eligibility is limited once services are rendered.

 

3. Medical Services (Telehealth)

  • All completed medical consultations are non-refundable.

  • A consultation is considered “rendered” when:

    • A provider reviews submitted intake forms or medical history

    • Clinical decision-making has begun

    • A live or asynchronous consultation occurs

If PBH Health fails to deliver the service due to a technical or operational issue, you may be eligible for:

  • Rescheduling at no cost, or 

  • A partial/full refund at PBH Health’s discretion

 

4. Prescription and Clinical Determination Fees

  • Fees for medical evaluations are non-refundable once the evaluation is completed, regardless of outcome.

  • PBH Health does not guarantee a prescription.

  • If no prescription is issued, the consultation is still considered a completed medical service.

 

5. Medications and Pharmacy Fulfillment

  • Prescription medications are non-refundable once:

    • Prescribed by a licensed provider, or

    • Dispensed by a pharmacy

This is required under federal and state safety regulations governing pharmaceuticals.

 

6. Subscription and Program Fees

  • Subscription services (if applicable) automatically renew unless canceled.

  • You may cancel at any time before the next billing cycle.

  • No refunds for partial billing periods unless required by law.

  • Unused services within a billing cycle are not refundable.

 

7. Appointment Cancellations

  • Appointments must be canceled at least 24 hours in advance.

  • Late cancellations or no-shows may result in:

    • Full charge for the session

    • Ineligibility for refund

 

8. Billing Errors and Duplicate Charges

  • Report billing issues within 7 days of the transaction.

  • Verified errors will be fully refunded to the original payment method.

 

9. Refund Request Process

  • Include:

    • Full name

    • Date of service

    • Description of issue

    • Proof of payment

    • Requests reviewed within 3–5 business days

    • Approved refunds processed within 5–10 business days

 

10. Chargebacks and Dispute Prevention

Before filing a dispute with your bank, you agree to contact PBH Health.

  • Filing a chargeback without first contacting us may:

    • Delay resolution

    • Result in account restrictions

PBH Health maintains documentation to respond to disputes in accordance with Stripe dispute management standards.

 

11. Fraud Prevention

We actively monitor transactions.

PBH Health reserves the right to:

  • Deny refunds

  • Suspend accounts

  • Refuse service

in cases of suspected fraud, abuse, or policy violations.

 

12. State Law Compliance

Where required by applicable state law (e.g., CA, VA, TX, FL, DC):

  • Additional consumer rights may apply

  • Those rights supersede this policy where applicable

 

13. Policy Updates

PBH Health may update this policy at any time. Continued use of services constitutes acceptance of any changes.

  • Visits: No refunds after completion

  • Prescriptions: No refunds once issued

  • Medications: No returns/refunds

  • Subscriptions: Cancel anytime, no mid-cycle refunds

  • Errors: Fully refundable
